Job Description:
As Document Controller, you will be responsible for managing the flow, control, and integrity of all project documentation across the project. The role ensures that documents are transmitted, reviewed, approved, and archived in accordance with project procedures, and that document control standards are consistently applied across internal teams, contractors, and third parties. The position supports efficient project execution and audit readiness by maintaining accurate registers, transmittals, and records throughout the project lifecycle.
Key Responsibilities:
- Support the project team to efficiently transmit, control, and record all project documents, working closely with internal and external stakeholders
- Establish and uphold a high standard of document control principles and procedures across the project
- Implement, maintain, and optimize the Document Management System (e.g. Aconex) within the project, including workflows, numbering, and metadata standards
- Coordinate document transmittals, review cycles, and approvals between the project, contractors, and third parties
- Maintain document registers, distribution matrices, and audit trails to ensure traceability and compliance
- Perform document control training within the project and provide day-to-day support to project staff and contractors
- Support project close-out by ensuring complete and accurate document handover and archiving
Qualifications:
- Strong skills in Document Control using Oracle Aconex and Microsoft SharePoint are required
- At a minimum, 3-5 years of relevant document control experience on large construction, infrastructure, or energy projects; experience in renewable energy or offshore wind is a plus
- A team player with excellent communication skills and an innovative mindset, but also the ability to work independently and lead on topics
- Goal orientated, balancing task, team and individual needs to achieve the right outcome
- Considerable experience working in project teams focused on complex, mixed stakeholder environments, high value projects. Plus, if experience in the renewable energy or offshore wind industry. Proficiency in using Microsoft Office
- Strong interpersonal skills (communication, motivation, persuasion), proactive and capable of reaching out to different stakeholders
- Drive, enthusiasm, initiative and a willingness to develop including that of the team efficiency and effectiveness
- Methodical and organized, a good facilitator and mediator able to resolve conflict
- Working proficiency in English is required; Mandarin/Chinese language skills are a plus
- PMP or other relevant certifications are an advantage
