As Project Coordinator, you will be supporting project governance and reporting across the offshore wind project, including the preparation of Steering Committee materials, coordination of board approval processes, and administration of project governance meetings. The role ensures that project decisions, actions, and approvals are properly documented, tracked, and communicated across the project leadership team and wider stakeholders. The position supports effective project governance by working closely with the Project Director, PMO, and functional leads.

 

Key Responsibilities:

  • Prepare Steering Committee presentations and materials, consolidating input from the project team into clear, concise, decision-ready slides
  • Coordinate and support the project's board approval processes, including preparation of approval papers, tracking of approval status, and follow-up on required actions
  • Organize and coordinate governance meetings, covering scheduling, agendas, and logistics
  • Take accurate minutes and track actions arising from various project meetings, ensuring timely follow-up and close-out
  • Maintain a log of key project decisions, approvals, and governance actions, ensuring traceability and audit readiness
  • Support the consolidation of project reports, dashboards, and KPIs for management reporting
  • Provide general administrative and organizational support within the project, such as organizing team events, meetings, on-/offboarding, among others

 

Qualifications:

  • At least 2-3 years of experience in project coordination, executive assistant, or governance/administration roles, preferably within the offshore wind or broader energy/infrastructure sector
  • Experience preparing Steering Committee, board, or senior management presentations and papers is required
  • Strong writing and presentation skills, with the ability to synthesize complex project information into clear, concise materials
  • A team player with excellent communication skills and an innovative mindset, but also the ability to work independently and lead on topics
  • Goal orientated, balancing task, team and individual needs to achieve the right outcome
  • Considerable experience working in project teams focused on complex, mixed stakeholder environments, high value projects. Plus, if experience in the renewable energy or offshore wind industry. Strong proficiency in Microsoft Office, particularly PowerPoint and Excel
  • Strong interpersonal skills (communication, motivation, persuasion), proactive and capable of reaching out to different stakeholders
  • Drive, enthusiasm, initiative and a willingness to develop including that of the team efficiency and effectiveness
  • Methodical and organized, a good facilitator and mediator able to resolve conflict
  • Fluent in Chinese, with working proficiency in English required
  • PMP or other relevant certifications are an advantage
